How to Compare Freight Quotes for Heavy Goods

2026-09-10 8 min read Logistics & Compliance
Stacked export cartons ready for freight booking

Memorial goods are heavy for what they are worth: stone markers, ceramic urns in double cartons and wooden caskets all move by weight and volume, which means freight can decide whether a product line clears a healthy margin or quietly eats it. Comparing freight quotes is therefore a skill worth building, and the first rule is counterintuitive — the smallest number on the page is rarely the cheapest delivery. Quotes differ because they include different things, assume different trade terms and measure weight in different ways. Normalize those variables first, and the comparison becomes honest.

Four variables must match before any two quotes are comparable: the trade term (Incoterm), the delivery scope (door-to-port versus door-to-door), whether insurance is included, and the chargeable-weight basis. If any one of them differs, you are not comparing prices — you are comparing adjectives.

What is actually inside a quote

Line itemWhat it coversQuestion to ask the forwarder
Main freight (ocean or air)Port-to-port or airport-to-airport movementWhich ports exactly, which service (direct or transshipment), what transit time?
Origin chargesPickup, export customs declaration, documentation, terminal handling at originAre these inside the supplier's price or billed to me separately?
Destination chargesTerminal handling, deconsolidation for LCL, documentation at destinationWhat is the estimated total at the destination port, in local currency?
Duties and taxesImport duty, VAT or sales tax at destinationWho is importer of record, and what is the estimate based on?
Inland deliveryPort or airport to your warehouse or 3PLResidential or limited-access surcharges? Liftgate needed? Appointment rules?
InsuranceCargo coverage in transitAll-risk? Insured value based on invoice value plus freight?

Incoterms decide what you are really comparing

The trade term on a quote determines which of those lines appear on your paper at all. EXW quotes look cheapest because they exclude everything after the factory gate — pickup, export clearance and origin handling all migrate to your side of the ledger, usually at higher unit prices than a supplier's contracted rates. FOB includes delivery to the loading port with export clearance done, which is why it is the default quotation term for PAWSANGEL shipments (FOB Shenzhen, Qingdao or Guangzhou; EXW and door-delivery terms negotiable). DDP-style door quotes move the most work onto the seller and price a margin for doing it. None of these is wrong — but comparing an EXW number against an FOB number is arithmetic nonsense, so pin the term first and quote everything else on top of it.

Weight, volume and the chargeable-weight trap

Sea and air tariffs bill by chargeable weight — the greater of actual weight and volumetric weight. Heavy-but-bulky cargo is exactly where this bites: double-cartoned ceramics and stone markers fill a container's volume long before they exhaust its weight allowance. Two consequences for buyers. First, packaging matters twice — the double-wall carton that protects ceramics also adds billable volume, so a "cheap" quote on thinner packaging is not cheap; it is under-protected. Second, the LCL-to-FCL crossover matters: near the threshold, ask for both quotes, because a full container of fragile goods also removes handling steps — every extra handling of LCL freight is a drop test you did not choose.

The like-for-like checklist

Judge quotes by total landed cost to your warehouse, not by the main freight line. A quote that looks low on line one and hides terminal charges, deconsolidation fees and a short free-time window will lose money against an honest, slightly higher all-in number — and it will lose it at exactly the moment your goods are sitting in a terminal accruing storage.

FAQ

Should I request FOB or EXW from a supplier?

FOB is usually the cleaner comparison point: the supplier delivers to the loading port with export clearance handled, and the forwarder competition starts from a level field. EXW makes sense mainly when you have your own agent at origin who can handle pickup and export cheaply.

LCL or FCL for memorial goods?

Volume decides the economics, and fragility decides the preference. LCL means shared containers and multiple handling steps; FCL means one loading, one unloading. Near the crossover point, get both quotes and weigh the handling difference — fragile ceramic and stone lines usually justify FCL sooner than the raw math suggests.

Why do two quotes for the same shipment differ so much?

Usually one of four things: a different chargeable-weight basis, different destination-charge estimates, insurance included versus excluded, or different validity dates. Normalize those four and the remaining difference is service quality, which is worth something.

Is cargo insurance worth it for stone and ceramic lines?

Generally yes for fragile, high-replacement-cost cargo, paired with documented drop-test-grade packaging. Insurance without packaging evidence invites disputes; packaging without insurance leaves one damaged container uninsured. They work as a pair.
